5 Mindset Shifts You Must Make First
Before we build your system, we’ve got to rewire a few things in your brain. Because the way you think about leads is just as important as how you track them.
1. “I don’t have any leads.”
Yes, you do. They’re in your inbox, your DMs, your contact forms, and those people who said “Maybe later” and then vanished.
If you’ve ever had a conversation about your work and didn’t hear “No,” that person is still a lead.
2. “Silence means no.”
Nope. Silence means:
They got distracted
They weren’t ready
They forgot

Until they say “No,” it’s “Not yet.”
3. “Following up is annoying.”
It’s not annoying. It’s customer service. Unless you’re calling someone’s mom or wife (like my husband’s dentist!) and begging them to call you back—it’s fine. Following up professionally is how businesses work.
4. “I’ll remember to follow up later.”

What a Lead Tracking System for Coaches Actually Looks Like

1. A Place to Track Leads (Pick ONE)
Don’t overthink this. Pick a tool and commit. That could be:
Google Sheets
Airtable
ClickUp
Notion
A literal notebook (if that’s your jam)
The only rule? It has to be ONE PLACE. No more sticky notes, emails, or mental tabs.
2. Status Tags or Stages
You need to know where someone is in your pipeline. A few easy options:
Inquired
Discovery Call Booked
Proposal Sent
Waiting to Hear Back
Declined/Not Interested
Ghosted (yes, you can use it—but be honest: did you do everything you can to professionally stay in touch?)
Booked, etc.
That way, when you check your tracker, you can immediately tell who needs a follow-up, who’s still warm, and who’s done.
3. A Reasonable Timeline
Don’t wait six months to follow up. And don’t follow up every 48 hours either. Choose a timeline that feels respectful and keeps things moving, like:
Follow up 3 days after the consult
Nudge again a week later
Set a check-in reminder for 30 days if they still haven’t replied
Tools like ClickUp or Google Calendar can help you automate these reminders so it actually happens.
4. A Few Follow-Up Templates (That Sound Like You)
You don’t need to be a copywriter. You need a few go-to messages like:
“Hey! Just wanted to circle back—still interested in [offer]?”
“No pressure, just checking in—any questions I can answer?”
“I’ve got space opening up—would love to have you in if now feels like a fit.”
Write these in your own voice. Store them somewhere easy to grab. Then tweak and send.

Here’s the part people don’t talk about: Every untracked lead is a missed opportunity.
If 3 people expressed interest and you didn’t follow up with any of them?
